Clay Behavioral HealthCare Center is a vital provider of mental health and substance abuse services in Clay County, Florida. Their programs include outpatient counseling, intensive outpatient services, and a prolific Medication-Assisted Treatment (MAT) clinic, which generates thousands of services monthly.
Clay's prolific MAT clinic presented a significant data management challenge due to the sheer volume of services rendered. The organization faced a critical need to ensure that all supporting data for state-required reporting (DCF - FASAMS system) was accurate and complete. Even a single error could result in unpaid services, creating financial and operational strain.
We were tasked with cleaning up state-required data using the Credible EHR system. Our goal was to ensure compliance with the DCF - FASAMS requirements by validating all data, leaving no room for discrepancies that could disrupt billing processes.
Building on our initial success, we designed and implemented a custom data warehouse for Clay Behavioral HealthCare Center. This powerful tool enabled the organization to scrub and validate data before submission to the managing entity. The data warehouse streamlined the process, significantly improving data quality and reporting accuracy.
As data quality improved, we developed a live dashboard for the Clay team. They operated with two separate EHR systems, Epic and Credible, where Epic was incapable of producing data in the proper format needed for state reporting and billing. This led to a complex and time-consuming process of moving records from Epic to Credible, requiring heavy auditing and forensic data keeping to ensure accuracy. Recognizing the need for a streamlined and effective solution, we leveraged our extensive experience in behavioral health and substance abuse billing systems to design and implement a new, well-documented process. This approach dramatically reduced the time and manual effort required for data transfer, minimizing the risk of human error.
