  1. Vellum Released More from AWARDS data

    More from AWARDS data

    • Vellum now reads AWARDS data on its own every morning, straight from the AWARDS data share. Reports built on AWARDS are current without anyone pressing a button.
    • A new data monitor shows what arrives from AWARDS day by day: new clients, admissions, progress notes by type, group attendance, forms and how many staff are documenting, with training records kept separate. A day whose data hasn't arrived yet says so instead of showing zero, so a delay is never mistaken for a quiet day.
    • A new Enrollment by Program report shows, for each program, how many clients are admitted now and how many were enrolled in each of the last 6 or 12 months. Click a program for its admissions and discharges by month.
  2. Vigil Rolling out Services: correct, delete and restore · Billing details on a service · Programs on a client's admission · …

    Services: correct, delete and restore

    • A completed or posted service now has "Correct this service" for staff with Correct service documentation. Vigil asks for a reason, with one-click choices, and the page updates without reloading.
    • A service signed by someone else can still be signed, but only its signer or someone with Correct service documentation can change it.
    • New Delete on a service, for staff with Delete services. You can always delete your own unsigned draft that has no bill. A deleted service is marked deleted, never removed: its signatures stay, its unsent bill is removed, and its appointment link and any POM or evaluation go with it.
    • A deleted service opens read-only and says who deleted it, when and why. Staff with Delete services can restore it, and what went with it comes back.
    • A service cannot be deleted once its bill may have gone to the payer, while its bill is in a claim batch, or while a payment is applied to it. Group sessions, bed days and treatment plan services are deleted from their own screens. Nothing signs, posts or bills a deleted service.
    • Service Search and a client's Services list hide deleted services unless you filter on Deleted.
    • New History button on a service: every change, who made it, when, the reason, and each old and new value. The printed service shows "Amended" with the date and name of the latest correction.
    • The service number now shows on the Service Details and Billing cards.
    • A reopened service's signature cards show the signer's name, and a voided signature shows its reason, date and who voided it.

    Billing details on a service

    • Billing staff can change a service's billing details on its Billing card: fund, OCA, project, program area, covered service, procedure code and modifiers, and place of service. Vigil asks for a reason and records the change; signatures are not affected, and the unsent bill follows.
    • A value changed this way is marked "Set by hand" and Vigil does not change it on its own. Moving the service to another payer resets the values that come from the payer.
    • Billing details lock once the bill may have gone to the payer, unless the payer rejected the claim and holds nothing of it.

    Programs on a client's admission

    • Each program now has Edit: change its start date, site and staff, or the end date and reason of an ended program. When the program's dates set its FASAMS placement's dates, the placement moves with them.
    • Remove program, for a program added by mistake. Vigil refuses while services, appointments or behavior sessions are on it, and lists their numbers so you can copy them. To change a program's type, remove it and add the right one.
    • Residential programs with someone on the roster keep their dates; their site and staff can still change.
    • A discharged admission now has "Add service" and "Add a program (past dates)": add the program the client was in, already ended, so its services can be entered. Before you save, Vigil says how the FASAMS placement will match: it fits one that exists, adds one (and asks where the client went next), or widens one (billing and FASAMS staff only).
    • Two programs of the same type on one admission cannot overlap.

Program area comes from the admission

    • A service's program area is now always its admission's, for services entered in Vigil from every screen (services, group sessions, bed days, treatment plans and prevention). The FASAMS file and checks read it from there.
    • Changing an admission's program area carries its Vigil services with it, and records the change on each one. A program area that billing set by hand is kept.
    • Service templates no longer have a program area, so one template serves every program area.

FASAMS requirements for payers that do not get the FASAMS file

    • New "Meets FASAMS requirements" switch on a payer in Billing setup. Clients with such a payer get every FASAMS check, their services included. Their services still never go in the state file.
    • Claims to such a payer wait in Needs attention while a FASAMS error is open on the service, client, admission or FASAMS placement, with "Open the client" to fix it.

Claims billing: receipts and procedure codes

    • New "Read receipt files" on a sent claim file: choose the TA1, 999 and 277CA files the clearinghouse gave you, and Vigil reads them. Rejected claims are named, and a claim the payer turned away is released so it can be fixed and sent again.
    • A claim with a "not otherwise specified" procedure code, such as H0046 or H0047, is stopped before its file is built, because payers turn it away without a description of the service. Vigil says how to pick a specific code with Change billing details.

The Observatory (agencies that provide ABA)

    • Physical prompts: when a client's prompt profile says to avoid them, Run mode does not record one unless the ABA program allows it. Only the program's author can allow it, with a reason; anyone who may write programs can turn it off. The allowance lapses if the client's profile changes later. A physical prompt that arrives anyway, for example from an older saved sheet, is kept and flagged for the BCBA. This replaces asking you to check assent.
    • An ABA program can have an alternative criterion (for example "3 sessions in a row at 80% or 2 at 100%") and its own baseline percentage. Baseline is judged the same whether or not prompted responses count.
    • New programs start at 2 baseline probes, 80% for 3 sessions in a row, back to Treatment after 2 sessions below 80%, and a prompted response counting as incorrect. "Fewest trials for a session to count" starts at 1, so every session counts.
    • New behavior category, Consequence: what followed a behavior (attention, escape, tangible and so on), recorded from anyone present. It is never a goal or part of an ABA program, and is left out of the ABA outcomes report.
    • Graphs and saved graphs now take up to 12 lines, so one summary graph can show behaviors and what followed them.

    Medications

    • A client's preferred pharmacy saves and shows again.
    • The witness check on medicine administration now compares staff with staff. A sign-in that is not linked to a staff record is told so.
    • A medicine counts as active from its start date until its stop date, on the medicine pass, the face sheet and everywhere else.
    • Editing a medicine with no start date says so instead of failing, and keeps a stop date already saved. When a dose cannot be recorded, the dialog stays open and says why.

    Lanterns

    • New lanterns: "When a finished note needs fixing" and "A service on the wrong client", with practice screens. The lanterns about services, billing, FASAMS templates and ABA now match these changes.
  3. Vigil Rolling out The Observatory: one place, two modes · Behaviors, with or without a treatment plan · Graphs · …

The Observatory: one place, two modes

    • The Spyglass and a client's behavior data are now one place, the Observatory, with a Run | Program switch that shows the client's name. Run mode is the tablet screen for running a session; Program mode holds behaviors, ABA programs and graphs.
    • Run mode opens in its own window and Program mode goes back to the client's tab, so tabs do not pile up. The switch is hidden while a session is running, so a stray tap cannot leave it.
    • Sessions are now called sessions: "Direct therapy" for teaching, and "Data only" for recording behaviors with no teaching.
    • On a weak connection, Run mode starts right away from the saved sheet and says how old it is.

Behaviors, with or without a treatment plan

    • A behavior can be added and tracked before a treatment plan exists, for example to collect baseline. It goes into the plan before teaching starts; moving a behavior that no plan covers to Treatment shows a warning.
    • A supervisor can add a behavior during a Data only session, even offline. It is saved when the tablet syncs.
    • In the treatment plan, an objective can take on a behavior that is already being tracked, and its earlier sessions stay on its graph. If that objective is removed later, the behavior and its data stay.
    • Each behavior has a phase: Baseline, Treatment or Maintenance. Changing the phase, marking it mastered, putting it on hold or retiring it asks for a reason and an effective date, and a phase change draws its own phase line. The treatment plan shows the phase; it is changed in the Observatory.
    • Once a behavior has sessions, the way it is measured cannot be changed, so its graph stays comparable. A change to its definition is marked on its graph.

    Graphs

    • Compare up to six behaviors on one graph, one point per session, each with its own color and marker.
    • For counted behaviors, Compare can show per session, per hour or weekly totals. Per hour says how many sessions are left out for lack of observation time; each week shows its sessions and minutes.
    • Every point's tooltip shows the minutes observed.
    • Save a graph by name (for example "Summary of challenging behaviors") and open it again any time.
    • ABC bar graphs: how often each antecedent and consequence was recorded for a behavior.
    • Implementation integrity graphs: caregiver integrity and staff quality checklists, each on its own graph.

Behavior graphs in progress notes and BASPs

    • A form can carry a "Behavior graphs" question: choose from the client's saved graphs, each with its own dates (the service's month unless you change it).
    • The graphs are sealed when the first person signs the service. From then on they show and print exactly as signed, even after new data arrives. If every signature is set aside, the graphs follow the data again.
    • A sealed graph carries its phase lines, aim and criterion lines, and the condition in force when its dates begin.
    • A graph cannot be sealed while sessions in its range are not final. Vigil says how many and from which date, so you can finish them or shorten the range. A session is final once it is recorded as a service or confirmed by the person who ran it.

    ABA programs

    • New "ABA programs" button in Program mode: skill area, then ABA program, then its targets. Eight skill areas are built in. An ABA program holds its teaching procedure, prompting, reinforcement, error correction, mastery criterion and notes; only the title and skill area are required.
    • Vigil moves targets between Baseline, Treatment and Maintenance by written, numbered rules, and says why each move was made (for example "2 consecutive sessions at 80% or more").
    • A target that meets criterion in Baseline is marked mastered in baseline. When a target is mastered, Vigil can introduce the next one.
    • "Moves this week" lists the moves Vigil made. Undo asks for a reason, and also puts back any target Vigil introduced because of that move.
    • A late session dated before a move does not rewrite it; Vigil raises it for the BCBA to re-check.
    • Vigil judges a target only when it can: mastery measured on all trials or on the first trial of the day (cold probe), with prompted responses counting as incorrect. Otherwise the target says why it is not judged. Task analysis steps are introduced in chaining order, and are not yet judged by Vigil.

    Run mode runs ABA programs

    • In a Direct therapy session, each target card has Independent and No. In Treatment and Maintenance, "Prompted" chips record the prompt level. No response is recorded separately from an error.
    • A correction trial is marked and never scored. Baseline cards remind you: no prompts, no feedback, no error correction.
    • Skip a target with a reason (no materials, client unwell, out of time, client declined). It goes on a "Skipped - come back" list, never counts as a miss, and can be un-skipped.
    • The info button shows the instruction (SD), the correct response and the ABA program, and offers "Flag for my BCBA": too easy, correct on a target not taught yet, confusing instruction or materials, materials missing, a new behavior, or client showing distress or withdrawing assent. Flags need a connection.
    • If a client's assent profile says to avoid physical prompts, Vigil asks you to check assent, with the profile's note, before a physical prompt is recorded.
    • Cold-probe mastery: the first trial of the day is what counts.

    Lanterns

    • The ABA lanterns use the new names and show Run mode, Program mode, the new graphs and ABA programs.
  4. Vigil Rolling out Services · Staff · Home page: billing action items · …

    Services

    • Billing staff can now enter services. The service screen no longer opens read-only for them.
    • Billing staff can also correct a completed service (Vigil asks for a reason and keeps a record of the change).
    • A reopened service shows the quantity it was saved with.
    • A start time typed without AM or PM now stops the save and asks, instead of being dropped.
    • Add Service opens with the cursor in the date.

    Staff

    • The greeting on Home uses your first name from your staff record.
    • Saving a staff member in Vigil keeps the display and print names the classic KIS program uses.

    Home page: billing action items

    • Each urgent billing line in "Your Action Items" now says what is wrong, for example "Billing: Missing Subscriber Insurance ID".
    • When you fix the cause — a service template, a staff member's NPI, a client's diagnosis, a billing record, client demographics or payer setup — Vigil re-checks the affected bills for you.
    • The home page re-checks its billing lines each time it opens, so an item that is already fixed leaves the list on its own.
    • A bill that billing staff sent back to you stays on your list until you deal with it.

    Billing records

    • Existing billing records ask for the ID the next time they are opened.
